VENUE RENTER'S GUIDE

​Welcome to The Union at Acereel


​We’re excited to be a part of your special event! This guide was created to help make your rental experience smooth, stress-free, and enjoyable. Please take a few moments to review the information below so you know exactly what to expect during your rental time.

Venue Arrival & Staff Support:
Staff Greeter & Walkthrough at the start of your rental, a staff member will greet the first person arriving for your event and walk through the venue with them.
During the walkthrough, we will:
  • Review important venue details
  • Show you where supplies are located
  • Confirm your tables, chairs, and any rental items ordered
  • Answer any questions you may have before your event begins
Once the walkthrough is complete, our staff member will leave the venue and return during your breakdown time.

Important: Please do not leave the venue before our staff member returns for final walkthrough and closing.
You will also receive contact information for the staff member in case any questions or concerns come up during your rental.


Important Event Times:
Rental Start Time:
Your rental start time is listed on your contract and was confirmed during your final call with Chante.
Final event details are typically confirmed the Monday or Tuesday prior to your event.
Breakdown Time:
Breakdown begins 1 hour before your rental end time.
This time should be used for:
  • Cleaning
  • Removing personal belongings
  • Taking out trash
  • Returning the venue to its original condition
Rental End Time:
Your end time means you should be completely exited from the venue at that time.

Venue Operations:
Setup:
Venue Lighting
Our venue lighting is adjustable to help you create the perfect atmosphere for your event, whether you prefer a bright, vibrant setting or a softer, more intimate vibe.
The lighting can be adjusted from:
  • Bright
  • Very Bright
  • Dim
  • Soft/Mellow Lighting
Light Switch Locations
  • Main room light switches are located:
    • On the right-side wall as you first enter the venue
    • Dance area is on the right-side wall before entering the hallway
Chandelier Lighting
The chandelier light switch is located on the left-side wall immediately as you enter the venue.

​Tables & Chairs

All requested tables and chairs will already be set out for your event.
If additional tables or chairs are needed, extras are located behind the black curtain near the food table area.

Food Tables:
Please do not move the food tables.
These tables are heavy and can become damaged or collapse if moved improperly. We always provide clean black tablecloths on the food tables for your convenience.

Venue Supplies:
Trash Bags -Trash cans will already contain liners, and we provide 3 additional trash bags for your event.
If you anticipate:
  • Large amounts of food
  • Many guests
  • Gift unwrapping
  • Heavy trash usage
Please bring additional bags just in case.

Cleaning Rag -A clean dish rag will be provided for wiping countertops, spills, appliances, and cleanup during breakdown time.

Utility & Cleaning Items:
Behind the black curtain near the food tables, you’ll find:
  • Broom
  • Mop
  • Bucket
  • Wet floor sign
Please feel free to use these items during your event if needed.
Spills:
If a spill occurs:
  1. Clean it immediately using the mop and bucket
  2. Place the wet floor sign down until the floor is completely dry

Sink Usage (Very Important) Please DO NOT put food down the sink drain.
The sink system is connected to a pump system — not a garbage disposal.
Although it may sound like one, food will clog the system and may require plumbing service.
If food is placed down the drain during your event, the client will be responsible for any plumbing repair costs incurred.

TV Monitor & Screen Sharing:
TV Monitor
If using the TV monitor, please return the TV remote control after use; place back on top of the sound bar when finished.
Clients are responsible for replacement costs if the control is lost, damaged, or misplaced.

Apple Device Screen Sharing:
You can screen share slideshows, photos, videos, and presentations from Apple devices.
Steps:
  1. Power on the TV
  2. Connect your device to WiFi
    • Network: Acereel
    • Password: acereel25
  3. Open “Screen Mirroring” on your Apple device 
     4. Select the TV​
     5.Enter the code displayed on the screen You should now be connected.

TV Apps
The TV is internet-enabled and includes apps such as:
  • YouTube
  • Music apps
  • Streaming channels
To access apps:
  • Use the remote
  • Press the Home button

WiFi Information-WiFi Network
  • Network Name: Acereel
  • Password: acereel25

Clean-Up Responsibilities:
Before leaving the venue, please make sure the following is completed:
Trash
  • Remove all trash from floors
  • Empty all trash cans
  • Take all trash to the outside dumpster located directly outside the venue
Food & Appliances
  • Remove all food and personal items from:
    • Refrigerator
    • Freezer
    • Microwave
  • Wipe down appliances if used
  • Clean spills inside the refrigerator or microwave
Chafing Fuel:
Please ensure all chafing fuel is completely extinguished before placing it in the trash.
Rental Items:
Please clean all rented items before leaving.
Personal Belongings:
Before exiting, please do a final walkthrough to make sure nothing is left behind.
The venue is not responsible for items left after your rental ends.
